Reminder of Upcoming Home Health Care CAHPS Data Submission Deadlines

This announcement is to remind approved survey vendors of the Home Health Care CAHPS Survey (HHCAHPS) data submission deadline for data collected during Quarter 3 of 2010. Data from patients sampled for the July, August, and/or September 2010 sample months must be submitted to the Data Center no later than 11:59 PM Eastern Time on January 21, 2011.

Since many HHCAHPS Survey vendors will be submitting data files to the Data Center for the first time, we urge you to submit Quarter 3 HHCAHPS Data Center well before the data submission deadline to ensure that there is time to correct problems with any files and re-submit them before the submission deadline. Keep in mind that CMS will absolutely not accept any data files for Quarter 3 after 11:59 Eastern Time on January 21, 2011.

Note that the main reason files have been rejected to date is because the HHA with which the survey vendor has contracted had not authorized the vendor to submit data on its behalf. Before you attempt to submit HHCAHPS data files to the Data Center, make sure your client HHAs have authorized your organization to submit HHCAHPS data on their behalf. Also make sure that the start date that they entered on the Authorize a Vendor Form on the HHCAHPS Web site is on or before the first sample month for which your organization is submitting HHCAHPS Survey data.

For those HHCAHPS Survey vendors submitting data for the first time, please be reminded of the following.

• Survey vendors should start submitting their data files for the July, August, and/or September sample months as soon as possible after data collection and processing activities for the sample month are completed, to allow adequate time to re-submit data in case resubmissions are necessary. You may submit files as many times as needed as long as the final file submission is successfully submitted by the data submission deadline.
• After you have uploaded your files, you will receive an email confirmation within several minutes notifying you whether your file upload was successful. If you do not receive this e-mail message, please contact the Data Center at hhcahps@rti.org
• All submitted files will go through a validation check. You will receive an e-mail confirmation message after the validation check is conducted notifying you whether your file has been accepted or rejected. The confirmation e-mail message will contain a hyperlink to a Data Submission Report which will allow you to see details of the validation check and any file errors that were identified.
• Data Submission Reports will also be available on the project Web site at https://homehealthcahps.org. Survey vendors can access the reports by selecting the Data Submission tab and the “View Data Submission Reports” link. If you do not receive an e-mail message confirming that your file was successfully uploaded or you cannot view the reports on files that you have submitted, please contact the Data Center at hhcahps@rti.org
