Closed HHAs, Vendor Authorization, and Data Submission

The purpose of this announcement is to let Home Health Care CAHPS (HHCAHPS) Survey vendors know what to do in the event a Medicare-certified home health agency (HHA) goes out of business or closes while its HHCAHPS Survey vendor is still contracted to conduct and provide HHCAHPS Survey data to the Data Center.

In the event that an HHA closes or is no longer active, the vendor authorization that the HHA submitted will remain in effect in the HHCHAHPS database for the entire period for which the HCHAHPS vendor is authorized. However, the authorized survey vendor may not be able to see the CCN for the closed HHA on the Vendor Authorization Report on the HHCAHPS Web site. This is because the HHCAHPS database ONLY shows CCNs that appear on CMS’s current list of active CCNs.

If an HHA that is participating in the HHCAHPS Survey closes or goes out of business, vendors must submit the HHCAHPS Survey data that was collected for that HHA to the HHCAHPS Data Center. If, when attempting to upload a data file for an HHA that has closed, you receive a data submission error indicating that you are not authorized to submit the data, please contact the HHCAHPS Coordination Team immediately so that we can assist you.

Please remember that data for all HHAs for which you collect HHCAHPS Survey data must be submitted by the applicable data submission deadline, including for HHAs that are no longer in business.
